The Lending Services Data Task Group will provide updates and reports to the Services Council.

Charge: to provide guidance and advice to the TRLN Services Council on the lending policies and practices across and between the TRLN institutions, including both interlibrary loan (document delivery) and direct loan. To inform their analysis, the group will collect the following information and statistics:

  1. All interlibrary loan activity compared to interlibrary loan within TRLN (broken down by OCLC symbol), and further broken down by lending vs. borrowing.

  2. Direct borrow statistics (including demographics).
    --The group can provide these stats, although some institutions, depending on how TRLN patrons are coded in the ILS, may not be able to break the numbers down to the patron type. We can provide the numbers by institutions. Those who can provide by patron type will do so.

  3. Demographics (patron type) of TRLN ILL returnable loans vs. direct borrowing.
    --ILLiad provides the patron type information for these transactions, while depending on how TRLN patrons are coded in each institution's ILS, direct borrowing may not be able to provide numbers by patron type.

  4. Number of total renewals requested to each TRLN partner (broken down by OCLC symbol).
    --This is referring to direct borrowing and ILLiad renewals broken down by TRLN institution and OCLC code.

  5. Number of recalls for lent material to each TRLN partner.
    --This data is difficult to produce, as most institutions do not keep this information. Once a recall is filled, that data is deleted or "scrubbed" from the patron record. If the steering committee would like this information, this group will discuss a procedure for keeping it in the future. The task group suggested that perhaps knowing the percentage of items recalled at each institution would be helpful.

  6. Percentage of items that need time extended by borrower.
    --The task group felt that this data point is captured in #4 and proposes: Percentage of items that are overdue via ILL and direct borrowing, as an alternate data point.

  7. Procedures used to renew TRLN materials and estimated staff time (hours and dollars) related to renewal transactions. James will prepare time/cost study estimate for renewals.
    --James is working on this.

  8. Number of items borrowed from TRLN institutions where the item is owned by the requester but unavailable.
    --This information is not readily available through the ILS or ILLiad and would be difficult to obtain. The task force asks the steering committee if there is an alternate data set that would be sufficient or would they like each institution to begin to keep this data?

  9. Exceptions to standard lending policies for format (e.g. media) and language (e.g. Chinese, Japanese, and Korean)
    --Each member will send this information directly to Mary at mary_chimato@ncsu.edu.

All data will be sent to Patti Pittman at TRLN by August 14, 2009.

An initial data set covering September 1, 2008 through April 30, 2009 is requested and should be reported to the Services Council by September 1, 2009.

The Data Group is also charged with developing a plan to gather and report the most pertinent lending services data to TRLN monthly to facilitate the periodic review of the services to ensure the most efficient operation and consistent user experience possible.
