The TRLN EAD Indexing Task Group reports
to the
Endeca Operations Committee
and should include one representative from each library that maintains archival
finding aids in EAD. Each representative should have working knowledge of local
EAD finding aid practices. |

Charge: to develop
and evaluate means for indexing archival finding aids formatted using the
Encoded Archival Description (EAD) standard in the TRLN Endeca system. At
present, Duke, UNC, and NCSU libraries provide different methods for searching
archival finding aids. Indexing EADs in Endeca would expand access to archival
finding aids to all users of Search TRLN and the Duke, UNC, and NCSU library
catalogs and release the full potential of EAD metadata.
Responsibilities:
- Identify a representative sample of EAD
records from each institution for the pilot.
- Create cross-walks from EAD to Endeca
properties (fields) and dimensions (facets) using the existing Endeca data
model as a guide.
- Make recommendations regarding search and
display of EAD content in Search TRLN.
- Define success criteria for the pilot and lead
in its evaluation.
- Coordinate necessary data extract and
interface enhancements with the Endeca Operations Committee or other technical
staff on the campuses as needed.
Provided the pilot is successful, task group
members and appropriate technical staff from the member institutions will work
to expand the scope of coverage beyond the pilot sample and develop routines
for regularly updating the EAD finding aids indexed by Endeca. Members of this
task group have the responsibility to consult with appropriate staff at all of
the libraries at their institution regarding project planning and evaluation.
Timeline: A face-to-face kickoff meeting
will be held in the fall of 2008, to begin the process of identifying the
pilot sample and delegating discrete tasks to task force members.
Specifications will be created and maintained on the Endeca Operations wiki,
and software development will occur on the TRLN development server at MCNC.
The wiki and a project listserv will enable communications during development.
Conference calls and face-to-face meetings may be arranged as needed.
